Office Administrator

Job Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our organization by managing administrative tasks, supporting team management, and facilitating effective communication across departments. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities

  • Oversee daily office operations and ensure a welcoming front desk presence.

  • Manage house calendar and assist in organizing and maintaining event files.

  • Create invoices for events and follow up for payment.

  • Assist in membership documentation and database upkeep; confirm facility users have current membership in advance of rental.

  • Answer phones and direct inquiries to appropriate staff, assist with maintaining financial records and coding invoices, preparing and delivering bank deposits.

  • Support human resources functions including onboarding new employees and maintaining personnel files.

  • Communicate effectively with staff, clients, and vendors to facilitate smooth operations.

  • Organize office files and documents, ensuring easy access and confidentiality.

  • Coordinate office supplies inventory and place orders as necessary.

  • Assist in team management activities, fostering a collaborative work environment.

  • Represent the SCA in a positive, professional manner in the office, at SCA events, and in the community.

  • Other duties as requested in assisting SCA overall activities.

Experience

  • Proven experience in an administrative role or similar position is preferred.

  • Strong skills in calendar management, organizational tasks, and clerical duties.

  • Familiarity with payroll systems and human resources processes is a plus.

  • Excellent communication skills, both verbal and written.

  • Ability to work independently as well as part of a team.

  • Proficiency in office software applications (e.g., Microsoft Office Suite) is essential.

  • Excellent computer skills and proficiency with Microsoft and Google programs.

  • Exemplary time management skills: punctual, reliable, and ability to meet deadlines.

Qualifications: 

  • Bachelors Degree preferred

  • Experience with nonprofit sector

  • Administrative experience

 

Salary & Benefits:

  • Part-time with potential to become full-time

  • $20 - $23/hr depending on education and experience

  • 401k (eligible after 1 year of employment)

  • 15 days PTO (eligible after 1 year of employment)

  • Reimbursement for bridge tolls for employees who commute from off-island
